Knowing exactly what you owe each supplier, and what you received, is as important as knowing what you sold. This lesson shows how OxPOS handles purchases professionally, from adding a supplier to following every purchase invoice until it is paid.

Step by step
- Add the supplier. Enter their details once, so every future invoice is linked to them.
- Create a new purchase. Choose the supplier, add the items and quantities, and enter the cost prices.
- Save the invoice. The received quantities are added to your stock automatically.
- Record payment status. Mark the invoice as paid or leave it unpaid, and follow pending payments from the dashboard.
- Export when needed. Export your purchase history for your accountant or for a supplier statement.
Why it matters
Purchases, sales and stock all depend on each other. When purchases are recorded in the same system, your stock value, profit and loss report and supplier balances all stay accurate, without copying numbers between notebooks and spreadsheets.
Tips
- Record purchases on the day they arrive. Stock is then correct before your cashiers start selling.
- Check cost prices. Accurate costs make profit reports and cost-plus-margin pricing reliable.
- Review unpaid invoices weekly so supplier relationships stay healthy.
