Employees vs Users in OxPOS: What’s the Difference?
Video tutorial: when to add someone as an employee, a user or both in OxPOS, plus salary advances, salary payments and automatic commission.
A question we hear often: why does OxPOS have an “Employees” section and a “Users” section, and do you need to add someone to both? This lesson answers it in two and a half minutes.
The short answer
- Users are the people who log in to the system.
- Employees are the people who receive a salary.
A person can be in one section or both, depending on their job.
The rule in practice
| Role | Section | Why |
|---|---|---|
| Warehouse worker or driver | Employee only | Salary, no login |
| Cashier | Employee + user | Salary and login access |
| External accountant | User only | Login, no salary |
Step by step
- Add the employee. Enter their details and salary.
- Decide on login access. Tick “grant login access” only if they need to use the system.
- Review the employees dashboard for salaries, advances and the average salary.
- Record advances when needed.
- Pay the salary. Commission is calculated automatically where it applies.
- Follow up advances and amounts due from the same screen.
Why it matters
Separating pay from access keeps your system secure. Only the people who really need to log in can see your data, while everyone on the payroll is still recorded properly.
